Website Privacy Policy

How this site handles the information you share with us before you become a patient.

What this policy covers

This policy applies to islapsych.com and to the information you send us through this website. It does not cover the health records we keep once you become a patient. Those are protected health information under HIPAA and are described in our Notice of Privacy Practices.

Information you give us

This website itself does not collect your information. There is no form on these pages that sends us anything.

Requests for care go through our scheduling portal, which is hosted by IntakeQ. That portal is a HIPAA-compliant system and is the right place to share health information with us. What you enter there is governed by this practice's Notice of Privacy Practices and by IntakeQ's own terms as our business associate.

If you email us

You may also reach us at help@islapsych.com. Email is well suited to scheduling and billing questions.

Ordinary email is not encrypted end to end and is not a secure channel for health information. Please keep medical details out of email and put them in the patient portal instead. Once you are a patient, all clinical communication happens in HIPAA-compliant systems.

Information collected automatically

Our web host keeps standard access logs, which typically include your IP address, browser type, the pages you requested, and the date and time. These logs are used for security and to keep the site running. This site does not currently use analytics or advertising trackers, and it sets no cookies of its own.

Third parties

This site loads typefaces from Google Fonts, which means your browser makes a request to Google servers when a page loads. Google may receive your IP address as part of that request. Our web host, Netlify, processes traffic to the site under its own privacy terms.

How we use your information

We use what you send only to respond to you, schedule a screening call, and determine whether the practice is a good fit for your needs. We do not sell your information, rent it, or use it for advertising.

How long we keep it

Inquiries that do not lead to care are retained for 12 months and then deleted. If you become a patient, your information moves into your clinical record, which is kept under Virginia’s retention rules for licensed practitioners: at least six years after your last visit. For patients who are minors, records are kept until the patient turns 18, and the six-year minimum still applies.

Your choices

You can ask us to delete an inquiry you sent, correct something in it, or stop contacting you. Email help@islapsych.com and we will take care of it. Different and broader rights apply to your clinical record once care begins, and those are listed in the Notice of Privacy Practices.

Children

This website is written for adults. We do not knowingly collect information through the site from anyone under 13. Where a minor is a prospective patient, we expect the parent or legal guardian to make the initial contact.

Security

We take reasonable steps to protect the information we hold, but no website or email system is perfectly secure. That is why we ask you to keep sensitive details out of the request form.

Changes to this policy

We may update this policy as the practice grows or as the tools we use change. The effective date at the top will tell you when it last changed.
